Short version: We collect only what's needed to run the app. We don't sell your data. Race data stays on your device unless you explicitly publish a racer profile or enable DerbyCast.
1. Information We Collect
Data You Provide
- Racer profiles — name, optional nickname, optional photo, optional car weight. Stored locally on your device unless you choose to publish.
- Organization name — used on your results PDF only, stored locally.
- Racer ID (PW-XXXXXX) — generated locally and optionally published to AppsentMind servers when you choose to share your profile.
Data Collected Automatically
- Race session data — heat results, scores, placements. Stored locally on your device.
- App settings and preferences — stored locally via iOS UserDefaults.
- Subscription status — managed by Apple's App Store. We do not store payment information.
Data Collected When You Use DerbyCast
When a race organizer enables DerbyCast and goes live, the following data is transmitted to Firebase (Google):
- Race session information (group name, lane count)
- Racer names (first name only, as entered by the race organizer)
- Heat schedule and placement results
- Event code (shared by the organizer)
This data is accessible to anyone with the event code while the session is live. Data is deleted from Firebase when the race organizer deletes the session.
2. How We Use Your Information
- To operate the app's core race management features
- To enable cross-event Racer ID lookup when profiles are published
- To power DerbyCast live broadcasting when enabled
- To generate race results PDFs on your device
We do not use your data for advertising. We do not sell your data to third parties.
3. Data Storage and Security
Local data — Race sessions, settings, and racer profiles are stored on your device using iOS secure storage. This data is included in your iCloud or iTunes backup if you have backups enabled.
Published profiles — Racer profiles you choose to publish are stored on AppsentMind servers (Turbify/Yahoo Small Business hosting). Photos are stored as JPEG files accessible via direct URL.
DerbyCast data — Transmitted to and stored by Firebase (Google Cloud). Subject to Google's privacy policy at firebase.google.com.
We implement reasonable security measures to protect data on our servers, but no transmission over the internet is 100% secure.
4. Camera and Photo Access
The App requests camera access for:
- Scanning QR codes to add racers or join DerbyCast events
- Pro Motion finish-line camera detection
- Adding photos to racer profiles
Camera access is only used while you are actively using these features. We do not collect or transmit camera data beyond what you explicitly capture.
5. Children's Privacy
Pinewood Derby events frequently involve minors. The App is designed to be used by adult race organizers. Racer profiles for minors should be created and managed by a parent or guardian or the race organizer on the child's behalf.
We do not knowingly collect personal information directly from children under 13. If you believe a child has provided personal information without appropriate consent, contact us at customerservice@appsentmind.com.
6. Third-Party Services
- Apple App Store — manages subscriptions and payments. Subject to Apple's privacy policy.
- Firebase (Google) — powers DerbyCast live broadcasting. Subject to Google's privacy policy.
- Turbify / Yahoo Small Business — hosts the web registration portal and published racer profiles.
7. Your Rights and Choices
- Delete local data — Use Settings → Resetting Data to delete racers and race data from your device.
- Delete published profile — Contact us to remove a published racer profile from our servers.
- DerbyCast data — Race organizers can delete DerbyCast sessions from within the app, which removes data from Firebase.
- Subscriptions — Manage or cancel subscriptions through your Apple ID settings.
8. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated date. Continued use of the App after changes constitutes acceptance of the updated policy.
